Sportswomen of Colorado (SWOC, we, us) is a Colorado nonprofit organization. Our mission is to promote, honor and empower Colorado girls and women in sport. This policy explains what information we collect on sportswomenofcolorado.org, how we use it, and the choices you have. We keep it in plain language because that is how we talk.

Information you give us
We collect information only when you choose to share it.
Contact information. Your name, email address, phone number, and message when you reach out through our Contact page.
Nomination information. When you nominate an athlete, coach, or contributor for our awards, we collect your contact information and information about the nominee, including their name, sport, school or team, and accomplishments.
Event and registration information. When you register for our Annual Awards Celebration or another event, we collect your name, email, and the details needed to reserve your seat.
Payment information. When you donate through our website, our payment processor collects your name, email, billing address, and payment card details. Card numbers go directly to the processor. They never touch or get stored on our servers. Donations made through ColoradoGives.org are governed by the Colorado Gives Foundation own privacy policy.
Program application information. When a family applies for a camp scholarship or a school partners with us for Satellite Clinics, we collect the information needed to run the program. That can include a child name, age, school, and family contact information.
Email sign-ups. Your name and email address if you ask to receive news from us.
Information collected automatically
Like most websites, we use cookies and website analytics tools, including Google Analytics and site traffic statistics software. These collect standard technical information: your browser type, device, pages visited, time on page, and general location at the city level based on your IP address. We use this to understand what content people find useful. We do not use it to identify you personally.
You can block cookies in your browser settings, and you can opt out of Google Analytics at tools.google.com/dlpage/gaoptout. The site works fine either way.
How we use your information
We use what you share to run our programs and communicate with you. Specifically, to respond when you contact us, process nominations and select honorees, register you for events, process and acknowledge donations and issue tax receipts, review scholarship applications and run clinics, and send news about our work if you asked for it.
We do not sell, rent, or trade your personal information. Ever. We are a 52-year-old nonprofit, not a data business.
We do not use your information for targeted advertising. We do not use it for profiling, and we do not make automated decisions about you that carry legal or similarly significant effects.
Children’s privacy
Our programs serve girls, and we take that responsibility seriously.
Our website is not designed to collect information directly from children under 13, and we do not knowingly do so. Information about children in our programs, such as camp scholarship recipients or clinic participants, comes to us from parents, guardians, schools, or partner organizations, with their involvement and consent.
Photos and videos of program participants are only used publicly when we have a signed release from a parent or guardian. If you believe we have information about a child that we should not have, or you want a photo removed, contact us and we will take care of it promptly.
Sensitive information
We do not seek out sensitive personal information. We do not collect biometric data, genetic data, precise geolocation, or information about your health, religion, race, sexual orientation, or citizenship status through this website. Where a program application asks for something sensitive, we ask permission first and explain why we need it.
Who we share information with
We share personal information only with the service providers who make our work possible. These fall into a few categories: payment processors (such as Stripe and ColoradoGives.org), website and email hosting providers, email newsletter services, and event registration tools. We also use website analytics providers, described above. These providers may only use your information to provide services to us.
We may also disclose information if the law requires it, or to protect the safety of our participants.
Award nominations become part of our honoree records. If your nominee is selected, their name and accomplishments will be celebrated publicly. That is rather the point.
Payment security
All donation and payment transactions are encrypted and handled by PCI-compliant payment processors. We never see or store your full card number. Our website uses HTTPS encryption throughout.
How long we keep information
We keep donation records as long as tax and nonprofit accounting rules require. We keep honoree and nomination records as part of our organizational history, which now spans more than 50 years and includes our Hall of Fame. Contact form messages and email lists are kept only as long as they are useful.
We collect only what we reasonably need for the purposes described in this policy, and we do not use it for unrelated purposes without asking you first.
Your rights and choices
You can unsubscribe from our emails using the link in any message, or by emailing us.
Colorado residents have specific rights under the Colorado Privacy Act. We honor these rights for everyone who contacts us, regardless of where you live and regardless of whether the law technically applies to an organization our size.
- The right to know and access. You can ask whether we hold personal information about you, and ask for a copy of it.
- The right to correct. You can ask us to fix information that is wrong.
- The right to delete. You can ask us to delete personal information about you.
- The right to data portability. You can ask for your information in a portable, readable format, up to twice a year.
- The right to opt out. You can opt out of having your personal data used for targeted advertising, sold, or used for profiling that affects you significantly. As explained above, we do not do any of these things. If that ever changes, we will say so here and provide a way to opt out before we start.
How to make a request. Email community@sportswomenofcolorado.org, or write to us at the address below, and tell us what you would like. To protect your privacy we may ask you to confirm a few details we already have on file, so we know we are talking to the right person. We will not ask you to create an account to make a request.
Someone acting on your behalf. An authorized agent may submit a request for you. We will ask for written permission signed by you, and we may confirm directly with you before we act.
How long we take. We respond within 45 days. If a request is complicated, we may need up to another 45 days, and we will tell you before that happens.
If we say no. You can appeal. Reply to our response, or email community@sportswomenofcolorado.org with Appeal in the subject line. A person will review it and respond within 45 days. If you are still not satisfied, you can contact the Colorado Attorney General office.
Browser privacy signals. If your browser or a browser extension sends a universal opt-out signal, such as Global Privacy Control, we treat it as a valid opt-out request and continue to honor it unless you tell us otherwise.
No penalty. We will never charge you more, give you less, or treat you differently because you exercised one of these rights.
Links to other sites
Our site links to other organizations, including ColoradoGives.org, university athletic programs, and community partners. Their privacy practices are their own. This policy covers only sportswomenofcolorado.org.
Changes to this policy
If we change this policy, we will update the date at the top of this page. Meaningful changes will be noted here. We will not quietly change how we treat your information.
